Junior Project Manager
Job Brief
The Junior Project Manager is a critical support role within the project management team, assisting in the planning, executing, and tracking of web and mobile application projects. This role involves:
- Supporting project tasks
- Managing client communications
- Ensuring project documentation is organized
- Tracking project progress to ensure deadlines are met
Additionally, the Junior Project Manager is expected to:
- Assist in preparing proposals
- Follow up on client interactions
- Handle administrative tasks
The position requires familiarity with all departmental functions, including those of a Coordinator, ensuring smooth coordination and communication within the team and with clients. This role is a foundation for future growth into more senior project management positions.
Key Responsibilities
Project Support & Coordination
- Assist in the planning, executing, and tracking of projects, ensuring they meet client requirements, deadlines, and budget constraints.
- Organize and maintain project documentation, including proposals, contracts, invoices, meeting minutes, and progress reports.
- Monitor project progress, identify potential delays or issues, and escalate them to the Project Manager for resolution.
- Participate in project meetings, capture action items, deadlines, and key decisions, and ensure follow-up to maintain task momentum.
- Track assigned project tasks and ensure deadlines are met, managing dependencies and supporting the coordination of project resources.
- Assist in preparing final project reports, summarizing milestones, deliverables, and outcomes to document project success and challenges.
Client & Stakeholder Interaction
- Support client communications by helping document project requirements, ensuring they are aligned with client expectations and project goals.
- Assist in initial client discussions, helping to define the scope, deliverables, and timelines for new projects.
- Prepare proposals, quotes, and contracts for client approval with the guidance of the Project Managers.
- Follow up with clients to finalize deals, confirm approvals, and ensure timely payment processing.
- Ensure all client inquiries are addressed promptly and professionally to foster positive client relationships.
Team & Task Management
- Collaborate with team members, including designers, developers, and other stakeholders, to ensure smooth coordination of project tasks and deliverables.
- Facilitate team collaboration, ensuring all members are aligned on project goals, timelines, and responsibilities.
- Assist in identifying process improvements to help enhance the efficiency of the project team and optimize workflows.
Administrative & Coordination Tasks
- Assist in scheduling and organizing department meetings, ensuring all stakeholders are informed and prepared.
- Track project-related documents, ensuring that contracts, invoices, and work authorizations are properly archived.
- Provide administrative support, including drafting invoices, proposals, and contracts.
- Assist in preparing and submitting proposals, ensuring they accurately reflect client needs and project scope.
- Follow up on outstanding client payments and service renewals.
- Ensure that all project documentation is archived correctly, both in physical and digital formats.
Learning & Development
- Stay updated on project management methodologies, industry trends, and best practices.
- Continuously strive to improve technical and non-technical knowledge to support the growth and efficiency of project management processes.
